Educare Centre Agreement

This agreement is made by and between St Daniel's Academy and the Parent / Caregiver of . The following has been agreed upon between the two parties beginning .

Indemnity

I, The parent / legal caregiver of hereby give permission for him/her to participate in all the activities of St Daniel's Academy including sports, games and any other school-related activities.

I understand that the centre will take all reasonable steps to keep my child safe. I agree to be responsible for any medical and/or hospital costs if my child is injured.

I agree to release and not hold responsible the Principal, teachers, staff, helpers, or students of St Daniel's Academy for any loss, damage, or injury to my child or my child’s property, except if it is caused by gross negligence or intentional harm.

I also give permission for the Principal or teacher to make decisions regarding medical treatment or surgery for my child in case of an emergency. As far as I know, my child is in good health.




Parent Contract

Between St Daniel's Academy (“the Centre”) and the Parent/Guardian (“the Parent”)

This contract sets out the obligations, responsibilities, and expectations between the Centre and the Parent. By signing this agreement, both parties commit to working in partnership to provide the best possible care and education for the child.

Parent Responsibilities

As a parent/guardian, I agree to:

  • Respect and Courtesy: Treat all staff, the principal, and fellow parents with respect and dignity at all times.
  • Communication: Read all communication from the Centre (letters, emails, notices, WhatsApp groups, etc.) to stay informed about important updates, events, and requirements.
  • Punctuality: Adhere strictly to the start and finish times of the Centre’s programme. Late arrivals and late pick-ups disrupt staff schedules and classroom routines.
  • Security Protocol: Follow all security measures in place at the Centre, including sign-in and sign-out procedures, use of authorised pick-up persons, and adherence to access controls.
  • Queries & Concerns: Make use of the Centre’s open-door policy for any queries or concerns by approaching the principal or staff in a respectful manner.

2. Fees and Payments

  • School fees are payable from January to December each year, regardless of public holidays, school holidays, or whether the child is absent/sick.
  • Fees must be paid on or before the 3rd day of each month.
  • Fees are essential for the Centre to pay staff salaries and cover operational costs.
  • If fees remain unpaid for more than 7 days, the Centre reserves the right to withhold services until the account is settled.
  • Parents are asked to please respect that staff and the principal depend on timely payments to support their own families.

3. Notice of Withdrawal

  • Should a parent wish to withdraw their child from the Centre, a written notice period of 4 weeks/ 1 month is required.
  • If notice is not given, fees for the notice period will still be payable in full.
  • The notice period does not apply in December; full fees remain payable for the month of December.

4. Health & Safety

  • Children who are unwell (e.g., fever, vomiting, diarrhoea, contagious illness) must not attend the Centre until they are fully recovered.
  • Parents must notify the Centre immediately if their child contracts a contagious illness.
  • The Centre reserves the right to request a doctor’s clearance before a child may return.
  • Immunisations must be up to date, and proof may be requested by the Centre.
  • The Centre will take all reasonable precautions to ensure safety, but parents acknowledge that active play carries normal risks of bumps, scratches, or minor injuries.
  • In the event of an emergency, the Centre will contact parents immediately and seek medical assistance if necessary. Parents are responsible for any resulting medical costs.

5. Code of Conduct for Parents

To ensure a safe, respectful, and supportive environment for children, staff, and families, parents agree to the following:

  • Refrain from using abusive, aggressive, or disrespectful language or behaviour towards staff, children, or other parents.
  • No corporal punishment, shouting, or intimidation is permitted on Centre premises.
  • No smoking, alcohol, or illegal substances are allowed on Centre property.
  • Concerns or complaints must be raised calmly and respectfully with the principal or management.
  • Support the Centre’s rules and values when engaging with children and staff.

6. Confidentiality & POPIA Compliance

  • The Centre complies with the Protection of Personal Information Act (POPIA).
  • Any personal information about a child, parent, or family will be treated as confidential and will not be shared with third parties without consent, unless required by law.
  • The Centre will take all reasonable measures to keep records, photographs, and daily reports secure.
  • Parents agree to also respect the confidentiality of staff and other families within the Centre community.

7. Acknowledgement

By signing this contract, I confirm that:

  • I have read, understood, and agree to the conditions outlined in this contract.
  • I understand that this is a legally binding agreement between myself and St Daniel's Academy.
  • I will uphold my responsibilities to ensure a respectful and cooperative partnership with the Centre.

Your privacy is very important to us, and all Personal Information collected will be handled in a lawful, justifiable and reasonable manner. We will be as open and transparent as possible with you as to how your Personal Information is handled. For the purposes of this enrolment form, Personal Information is any form of information that is identifiable with you or , may include but is not limited to name, mailing address, phone number, email address, nationality, and medical history.

We generally process your Personal Information for the following purposes:

  • the operation of an early learning centre;
  • to provide and maintain a mobile application suite for communication and resource-sharing;
  • to provide interactive features for your use;
  • to provide support;
  • to gather analysis or valuable information so that we can improve our operations;
  • to monitor the usage of the mobile application suite;
  • to detect, prevent and address technical issues;
  • in any other way described when you provide the information;
  • to respond to an e-mail that you have sent to us by return e-mail or by phone;
  • to contact you from time to time, where you have consented to being contacted for marketing purposes or to be put on our mailing list;
  • for such other purposes to which you may consent from time to time; and for such other uses which we are authorized by law to carry out.
